Dealership HR covers three separate jobs: hiring people properly, recording the hours they work, and paying commission accurately. Each leaves a paper trail worth keeping straight, because each is the kind of thing that gets examined months later when someone disputes it.

On hiring, the EMP-1 application is written to comply with state and federal fair employment practice laws, though employment law varies by state, so have your attorney confirm it before rolling it out across a group. The file jacket keeps personal data and emergency contacts in one place, which matters on the day you need a contact quickly rather than the day you file it, and the confidentiality agreement is carbonless so both sides keep a copy. Labor law posters are state specific and change with legislation, so check the edition on your wall rather than assuming a kit bought three years ago still satisfies the requirement.

On time cards, the first question decides everything: manual punch clock or computer system. The AA-292-VI suits continuous feed systems only and will not work in a punch clock, which is the most common ordering mistake here. The manual cards are all 3-1/2in wide and differ in height, so measure the rack before choosing, and note that the two sided card holds two pay periods for a small premium. For commission, the voucher is the simpler summary while the compensation report is 2-part carbonless, which is what settles a disagreement six months on.

HR and Employment Supplies

Dealership HR covers three separate jobs: hiring people properly, recording the hours they work, and paying commission accurately. Each has a paper trail worth keeping straight, because each is the kind of thing that gets examined months later when someone disputes it.

Hiring and Employee Records

The Application for Employment (Form EMP-1) is a 4-page form written to comply with state and federal fair employment practice laws prohibiting discrimination. Employment law varies by state and changes over time, so have your attorney confirm it suits your jurisdiction before adopting it across a group.

The Employee File Jacket (Form 201) keeps personal data, emergency contacts and employment history in one place, which matters on the day you need an emergency contact quickly rather than the day you file it.

The Employee Confidentiality Agreement is 2-part carbonless and edge-glued, so the employee keeps a copy and you keep one. It supports FTC Red Flag Rules compliance, which is relevant to any dealership handling customer credit information.

Labor Law Posters

Displaying current federal and state employment notices is a legal requirement for employers, and the notices change as legislation changes. ComplyRight Federal and State Poster Kits are attorney-approved and state-specific, covering mandatory state notices alongside the required federal ones.

The thing to watch is currency. A poster kit bought three years ago may no longer reflect what is required now, and an out-of-date poster provides no protection. Check the version you have on the wall rather than assuming it is still valid.

Time Cards

Five options, and the first question decides everything: manual punch clock or computer system?

The AA-292-VI is for continuous-feed time clock computer systems only. Each 11-1/4in x 8-1/2in buff sheet carries 3 cards across. It will not work in a manual punch clock, and ordering it for one is the most common mistake in this category.

For manual punch clocks, all four cards are 125# heavy duty manila in black ink at 3-1/2in wide, differing in height:

  • TC-1 at 8-1/2in, the most compact
  • TC-292 at 9in, single sided
  • TC-292-2 at 9in, printed both sides
  • TC-57 at 10-1/2in, the tallest, with the most vertical space for entries

Measure the rack before ordering. A card that does not fit the holder is useless however good the price.

The Two-Sided Card Is Worth the Difference

The TC-292-2 is printed on both sides and holds two pay periods per card, so you buy half as many cards across a year. The premium over the single-sided TC-292 is small relative to that, and there is a second benefit: fewer card changes means fewer opportunities for a card to go missing mid-period.

The case for single-sided is a clean break at each pay period, which some payroll processes prefer.

Commission and Compensation

Two forms cover salesperson pay. The Commission Voucher summarises commissions due for a pay period and totals them per deal. The Salesperson's Compensation Report (Form DSA-231N) is 11-5/8in x 8-1/2in and 2-part carbonless, so both the salesperson and the office retain a copy.

The carbonless copy is the practical difference. A commission dispute six months on is settled quickly when both parties signed the same document and each kept a copy.

FAQ

Which time card fits our clock?

Measure the existing card and the rack. All four manual cards are 3-1/2in wide and differ in height from 8-1/2in to 10-1/2in, so the rack is usually the constraint. If your system is computerised rather than a punch clock, you need the AA-292-VI instead, which is not interchangeable with manual cards.

Single-sided or two-sided cards?

The two-sided TC-292-2 holds two pay periods, so you use half as many cards over a year for a modest premium. Choose single-sided if your payroll process prefers a fresh card each period.

How often should labor law posters be replaced?

Whenever the underlying notices change, which happens more often than most dealerships check. An outdated poster does not satisfy the display requirement. Check the edition on your wall against the current state-specific kit, and order by state rather than assuming one kit covers multiple locations.

Commission Voucher or Compensation Report?

Whether you need a retained copy. The Commission Voucher is the simpler and cheaper summary. The Compensation Report is 2-part carbonless, so the salesperson keeps one copy and the office keeps the other, which is what settles a disagreement later.

Will this employment application work in our state?

The EMP-1 form is written to comply with state and federal fair employment practice laws, but employment law varies by state and changes. Have your attorney review it before rolling it out, particularly if you operate in more than one state.

Why use a printed employee file jacket?

Because it prompts for what you will actually need. The Form 201 jacket carries personal data, emergency contacts and employment history on the front, so the information is in one place rather than distributed through a folder. It matters most in an emergency, when nobody has time to search.
