A credit issued later is a credit that often never gets issued. When a part comes back wrong, damaged or simply not needed, the moment to document it is while the customer or the driver is standing there, not after the paperwork has travelled back to the counter and been put down somewhere.

The Credit Memo Book RL-113 lets counter staff or a parts driver write a credit on the spot, 150 memos per book, three to a page, 3 part carbonless so the customer copy, the department's file copy and accounting's copy are all written at once with no figures to transcribe. The memos are pre numbered, which is the control that matters: reconciling the book shows immediately whether any are unaccounted for, where a credit written on a blank pad leaves no trace at all. It pairs with the parts pick up receipt, which records the return itself, so the part and the money each have a document.

Credit Memo Book RL-113

The Credit Memo Book RL-113 lets counter staff or a parts driver write a credit on the spot. It is a 7-1/2in x 11in book holding 3 credit memos per page at 3-2/3in x 6-1/2in each, 150 memos per book, 3-part carbonless in white, canary and pink.

The memos are pre-numbered in red ink, which is the control feature rather than a decorative one: every memo has a unique number, so a missing number is visible when the book is reconciled. That is what stops credits being written and never reaching accounting.

Why Three Parts

Each copy has a destination. One goes to the customer or the account as their proof the credit was agreed, one stays in the book as the department's record, and one goes to accounting to be applied. Carbonless means all three are written at once, in the same hand, with the same figures, so there is nothing to transcribe and nothing to disagree about later.

Where It Fits

Credit memos usually follow a return. The parts pick-up receipt tracks parts coming back and requests for credit, and the credit memo is what closes that loop. For parts moving between departments rather than back to a vendor, the PR-8178-2 parts requisition form provides the same control going out.

FAQ

What is a credit memo book used for?

Documenting a credit at the moment it is agreed. A part comes back wrong, damaged, or unneeded, and someone writes the credit there and then rather than promising to sort it out later. The RL-113 is sized to be carried, so a parts driver can issue one at the customer's counter.

Why pre-numbered?

Control. Every memo carries a unique number printed in red, so reconciling the book shows immediately whether any are unaccounted for. A credit written on a blank pad leaves no trace if the copy goes missing; a numbered book makes the gap visible.

What do the three copies do?

White, canary and pink go to the customer or account, the department's own file, and accounting. Carbonless means all three are created at once from a single writing, so the figures match across all copies without anyone re-entering them.

How many memos per book?

150 credit memos per book, printed 3 to a page at 3-2/3in x 6-1/2in each, in a 7-1/2in x 11in book. Most parts departments get through a book slowly, so order by how often you issue credits rather than by month.

When do I use a credit memo instead of a pick-up receipt?

They cover two stages of the same event. The parts pick-up receipt records that a part has come back and that credit is being requested. The credit memo records that the credit has been issued. Departments handling regular returns use both, so there is a document for the return and a document for the money.
