Service Forms

(Showing 16 of 16)

These are the service forms that do not fit under inspection, repair order or scheduling: damage documentation at write up, federally required disclosure labels, recall notifications, internal authorizations, and the time cards that track who was in the building.

Two protect you at write up. The Red Alert form records pre existing damage before the vehicle enters the bay, which is what settles a claim that would otherwise come down to memory against memory. The pre service check in captures the complaint in the customer's own words, so the technician diagnoses what was actually reported. Two are required rather than optional: the odometer repair label is federally mandated when an odometer is repaired or replaced, and the inspection sticker documents that a check took place.

A recall notice only works if it gets opened, which is why the urgent recall notice is a fluorescent red self mailer rather than an envelope; the imprinted version adds your name so the customer knows who is writing. Elsewhere: the substitute vehicle agreement carries the insurance protection disclaimer for a loan during service, the internal authorization book records who approved work on internal and warranty jobs, and time clock cards come in four manual sizes plus a continuous feed version that will not work in a manual clock. Autosoft users should see the aligned service invoices.

Service Department Forms

The forms that do not fit neatly into inspection, repair order, or scheduling: damage documentation at write-up, federally required disclosure labels, recall notifications, internal authorizations, and the time cards that track who was in the building.

Autosoft DMS Forms

If you run Autosoft, these are printed to align with it. Autosoft service invoices are pre-printed soft copy laser forms guaranteed to align with the system with no adjustments required, printed in colour at Dealermarket's own print shop, 1000 per pack. Autosoft service orders are the hard copy version on cardstock, used by technicians to record work performed, which survives a day in the shop in a way lightweight invoice paper does not. See all Autosoft DMS forms and checks.

Check-In and Damage Documentation

The Red Alert form is a single-part damage record completed at write-up, documenting pre-existing damage before the vehicle enters the bay. It is the cheapest insurance in the service drive: one disputed dent costs more than a year of these. The pre-service check-in form is handed to the customer to complete in their own words while they wait, so the technician works from the complaint as stated rather than an advisor's paraphrase.

Required Disclosure Labels

The odometer repair label is a 1-1/2in x 4in adhesive label required by federal regulation when a vehicle's odometer has been repaired or replaced, affixed to the left door frame. At under ten dollars a pack it is a compliance item worth keeping in stock rather than ordering when needed. The inspection sticker is a 3in circle in 3 mil vinyl with a pre-printed checklist of major components, documenting that an inspection took place.

Recall Notifications

A recall notice only works if it gets opened. The urgent recall notice is a dual-sided self-mailer on fluorescent red card stock, which is deliberately hard to mistake for junk mail. The custom imprinted version carries your dealership name and contact details, so the customer knows who is contacting them before they read a word of it.

Loaners and Authorizations

The substitute vehicle agreement documents the terms of a temporary loan or rental while a customer's vehicle is in service, including the insurance protection disclaimer that establishes who carries cover during the loan. See vehicle rental agreements for the full range. The internal authorization book records who approved work or equipment changes, two authorization sets per page, which matters on internal and warranty jobs where the approving party is not the customer.

Time Cards

Five formats, and the first question is whether your clock is manual or computerised. For manual punch clocks, TC-292 is single-sided at 3-1/2in x 9in, TC-292-2 is the same card printed both sides to hold two pay periods, TC-1 is the compact 3-1/2in x 8-1/2in option, and TC-57 is the tallest at 10-1/2in, giving the most vertical space for recording. All are 125# heavy duty manila. For continuous-feed computer time clock systems, AA-292-VI cards come three across on an 11-1/4in x 8-1/2in sheet and will not work in a manual clock.

Parts Department Display

Tire advertising labels are 2-3/4in x 5-5/8in adhesive labels printed in red and blue for displaying new or used tires in the parts or service department, where an unlabelled tire rack sells nothing.

FAQ

Which time card do I need?

Start with your clock. Manual punch clocks take the TC-292, TC-1, or TC-57, which differ only in height and therefore how much recording space each holds. Computerised continuous-feed systems need AA-292-VI cards, which are a different format entirely. If you run two pay periods per card, the 2-sided TC-292-2 halves your card usage.

When is an odometer repair label required?

Federal regulation requires a disclosure label when a vehicle's odometer has been repaired or replaced, affixed to the left door frame. The odometer repair label is that form. Confirm current requirements with your state authority, and keep a pack on hand rather than discovering you need one mid-repair.

Why document damage before service?

Because without a record, a damage claim comes down to one person's memory against another's, and the dealership usually pays. The Red Alert form takes a minute at write-up and produces a signed record of what the vehicle looked like on arrival. See also the vehicle check in report for a fuller intake record.

What makes the Autosoft forms different?

They are guaranteed to align with the Autosoft DMS with no printer adjustment, and printed in colour at Dealermarket's own print shop. If you have ever spent a morning nudging margins to stop an invoice printing half an inch off, that is the problem these remove. Choose soft copy invoices for the customer-facing document and hard copy service orders for the cardstock copy that goes into the shop.

Why send recall notices on fluorescent card?

Because an unopened recall notice has failed. The urgent recall notice is a dual-sided fluorescent red self-mailer, designed to be impossible to mistake for advertising. The custom imprinted version adds your dealership name, which further improves the odds a customer opens it and books the work.

What is an internal authorization book for?

It records who approved work, equipment additions, or equipment removals on a vehicle, with two complete authorization sets per page. That matters on internal, warranty, and wholesale jobs where the person authorizing the work is a manager rather than the customer, and where the question later is who signed off on it. See the internal authorization book.
