The repair order is the spine of a service department: it records what the customer asked for, what was authorised, what the technician did and what gets billed. All four motorcycle repair orders here cost the same, so the choice is format, not price.

Length first. The RO-600-3 is compact at 8-1/2in x 7-5/8in and suits straightforward powersports work: a service, a tyre, a diagnosis. The RO-664-3 is full size at 8-1/2in x 11-5/8in with room for several labour operations. Then copies: three parts covers customer, file and technician, while the RO-665-4 adds a buff tag copy that stays with the machine, which on a floor holding a dozen similar bikes is what stops the wrong one going out.

One more variable. Three of these are NCR carbonless; the RO-546H uses traditional carbon interleaving, which gives darker lower copies and is worth taking if your file copies come back faint. Motorcycle Repair Orders

The repair order is the spine of a service department. It records what the customer asked for, what was authorised, what the technician did, and what gets billed. Get the format right and the rest of the paperwork follows.

Choosing a Repair Order

All four repair orders cost the same, so pick on format rather than price. Two questions decide it: how long is a typical job, and how many people need a copy.

Length. The RO-600-3 is the compact format at 8-1/2in x 7-5/8in. The RO-664-3 is full size at 8-1/2in x 11-5/8in, with more line space for jobs carrying several labour operations. Powersports work is often simpler than car work, so the compact format suits many motorcycle departments, but if your ROs regularly run out of lines, take the full size.

Copies. Three parts covers customer, file, and technician. The RO-665-4 adds a fourth: white to the customer, canary to the file, pink to the technician, and a buff tag copy that stays with the unit. On a floor holding a dozen similar bikes, the tag copy is what stops the wrong machine going out.

Carbonless or carbon. Three of these are NCR carbonless. The RO-546H uses traditional carbon interleaving, which produces darker, crisper copies on the lower sheets. Worth considering if your technicians write heavily or your file copies come out faint.

Before the Repair Order

The Pre-Service Check In is a padded form the customer completes in their own words while waiting. It produces a better description of the fault than a summarised one, and it is their account in their handwriting if the job is later disputed. The Repair Estimate Form 45 handles quick estimates written on the spot, 50 sheets per pad, 2 pads per pack.

Running the Day

The Service Appointment Form is a 6-part snap-out set covering a full week, one sheet per day Monday to Saturday. The Daily Service Schedule and Service Dispatcher System Sheet are padded route sheets for tracking jobs through the day, the dispatcher version listing common repairs so work can be assigned without writing each one out.

The Daily Service Record Book is coil bound and combines appointment tracking with authorisation for additional repairs in one book, which suits a smaller department where one person handles both.

After Hours Drop-Off

Service estimate and parts return night drop envelopes are 6in x 9in on heavy-duty 24# white wove stock, large enough for a key with a remote, also available in 500 boxes and custom imprinted. Useful for riders dropping a bike before opening, and for parts returns coming back outside counter hours.

Odometer Disclosure

The Odometer Repair Label is a 1-1/2in x 4in adhesive disclosure label for use when an odometer has been repaired or replaced. Federal odometer disclosure rules specify where such a label is affixed, and that specification is written around vehicles with a door frame. If you need to apply one to a motorcycle, confirm the correct handling with your state DMV or your attorney rather than assuming the automotive placement carries over.

Count the lines a typical job uses. The compact RO-600-3 suits straightforward powersports work: a service, a tyre, a diagnosis. The full-size RO-664-3 gives more room for jobs with several labour operations. They cost the same, so there is no penalty for taking the larger one if you are unsure.

Do we need 3-part or 4-part?

Carbonless or carbon interleaved?

Why have the customer write the complaint themselves?

Is custom imprinting worth it on repair orders?

Do we need night drop envelopes for bikes?
