A dealership prints more than almost any comparable business: repair orders, deal jackets, parts invoices, buyers guides and the paperwork behind every one. That makes the printer a smaller decision than the toner feeding it, because across this range the cost per page varies by roughly four times.

Compare yield, not cartridge price. A 3,000 page cartridge works out near 5.5 cents a page; a 55,000 page one lands closer to 1.4 cents. A department printing heavily on small cartridges is paying several times more than it needs to, and the only constraint is which cartridges the machine accepts, so check the model first. Note too that Lexmark sells the same cartridge as Return Program, cheaper in exchange for sending empties back, or Corporate with no return condition and a higher price. See all toner, drums and printer supplies.

Two things catch dealerships out. Toner is not the only consumable: the imaging unit is separate and rated to 60,000 or 75,000 pages, and when print quality drops on fresh toner, the drum is usually why. And the 550 sheet paper trays are not interchangeable, with a different part for the 431 series, the MS531dw and MS631dw, and the MS821dn family, so confirm your model before ordering; see printer accessories. For the machines themselves, match speed to the queue rather than the page count, and browse all printers or the Lexmark range.

Dealership Technology

A dealership prints more than almost any comparable business: repair orders, deal jackets, parts invoices, buyers guides, and the paperwork behind every one. That makes the printer a smaller decision than the toner that feeds it.

Toner Is Where the Money Goes

Cartridge price tells you almost nothing on its own. Yield is what matters, and across this range the cost per page varies by roughly four times.

Those are approximate figures from list price divided by rated yield, and real-world yield varies with coverage. The pattern holds regardless: a department printing heavily is paying several times more per page on small cartridges than it needs to. Check which cartridges your printer accepts before ordering, since yields are model-specific.

Return Program or Corporate

Lexmark sells the same cartridges two ways. Return Program cartridges are priced lower in exchange for agreeing to return the empty to Lexmark for recycling. Corporate cartridges carry no return condition and cost more.

If your dealership already runs a recycling process, Return Program is the cheaper route. If empties get thrown away or you want no conditions attached, budget for Corporate. Confirm the current terms with us before a large order, since they are set by Lexmark rather than by us.

Do Not Forget the Imaging Unit

Toner is not the only consumable. The imaging unit, or drum, is separate and lasts far longer: the 56F0Z00 is rated to 60,000 pages and the 66S0Z00 to 75,000. For high-volume machines the fuser maintenance kit at 200,000 pages includes the fuser, pick roller, separator pad, pick tire and transfer roll.

Dealerships that budget only for toner get caught out when print quality degrades and the fix turns out to be a drum. Plan the full consumable cycle, not just the cartridge.

Choosing a Printer

Match speed to department volume rather than buying at the top.

  • MS431dw, up to 42 ppm, wired and wireless, compact
  • MS531dw, up to 46 ppm with toner yields to 28,400 pages
  • MS631dw, up to 50 ppm with yields to 31,000
  • MS823dn, up to 65 ppm with a first page in 4.2 seconds

For a desk that also scans, copies and faxes, the MX431adw multifunction runs at 42 ppm with double-sided automatic scanning. For the occasional colour job, the CS331dw is the compact colour option at 26 ppm. See all printers and the full Lexmark range.

Paper Trays Are Model-Specific

This is the easiest expensive mistake in the category. All three 550-sheet trays look similar and none is universal: 38S3110 fits the MS531dw and MS631dw, 29S0600 fits the 431 series, and 50G0802 fits the MS821dn, MS823dn and MS825dn. Check your exact model before ordering. See all printer accessories.

Label Printers

Two Bixolon XD5 desktop printers that differ in one important way. The XD5-40d is direct thermal: no ribbon to buy, lower running cost, but labels fade with heat and sunlight over time. The XD5-40t is thermal transfer: it needs a ribbon, and the print lasts.

For a window price label replaced within weeks, direct thermal is the economical choice, and Zebra Z-Perform 2000D direct thermal labels pair with it. For an asset tag or parts bin label that has to stay readable for years, choose thermal transfer.

Networking and Displays

CAT5 patch cables meeting Cat5e TIA/EIA standards handle desk-to-wall runs, and the ViewSonic 20in Full HD monitor suits a service write-up or parts counter station. See all computer hardware supplies.

FAQ

Which toner cartridge is actually cheapest?

Divide price by rated yield rather than comparing cartridge prices. On current list pricing the 55,000-page cartridge works out at roughly a quarter the cost per page of the 3,000-page one. The constraint is which cartridges your printer takes, so check the model first.

What is the difference between Return Program and Corporate toner?

Return Program cartridges cost less in exchange for agreeing to send the empty back to Lexmark for recycling. Corporate cartridges have no return condition and cost more. If you already recycle consumables, Return Program is the better value. Terms are set by Lexmark, so confirm current conditions with us before a large order.

Why is print quality dropping when the toner is new?

It is often the imaging unit rather than the toner. The drum is a separate consumable rated to 60,000 or 75,000 pages depending on model, and on a busy dealership printer it does wear out. Budget for drums and the fuser kit alongside toner.

Will this paper tray fit our printer?

Only if it matches the model. 38S3110 is for the MS531dw and MS631dw, 29S0600 for the 431 series, and 50G0802 for the MS821dn, MS823dn and MS825dn. They are not interchangeable, and at these prices it is worth checking the model number on the printer itself before ordering.

Direct thermal or thermal transfer labels?

How long the label has to last. Direct thermal needs no ribbon and costs less to run, but print fades with heat and sunlight, which suits short-life price labels. Thermal transfer uses a ribbon and stays readable for years, which is what asset tags and parts bin labels need.

How fast a printer do we need?

Count the queue, not the page total. A service write-up desk printing multi-part repair orders while a customer waits benefits from the 65 ppm MS823dn and its 4.2 second first page. A back office printing in batches is well served by the 42 ppm MS431dw at a fraction of the cost.
