Fuel PO Books

Dealerships put fuel in vehicles constantly: demos, loaners, units moving between lots, road tests, and every car delivered with a full tank. Without a document per purchase, fuel spend is a number on a month end statement that nobody can tie back to a vehicle or a person. A fuel purchase order book creates that document.

The fuel PO book is 8-1/2in x 11in, 3 part carbonless, coil bound with a heavy stock cover. Two details earn their keep. The heavy cover stops write through, so pressing on one PO leaves no ghost impression on the pages beneath, which is what makes a well used book hard to read and harder to audit. And the control copy stays bound in the book, so the record never depends on someone bringing a copy back: the book is the audit trail. The custom imprinted version adds your logo and up to four lines of your details for under ten dollars more, worth it when the PO goes to an outside fuel supplier, since a document carrying your name is easier to match against their invoice.

Dealerships put fuel in vehicles constantly: demos, loaners, units moving between lots, road tests, and every car delivered with a full tank. Without a document per purchase, fuel spend is a number on a statement that nobody can tie back to a vehicle or a person.

Fuel Purchase Order Book

The fuel purchase order book is 8-1/2in x 11in, 3-part carbonless in white, canary and pink, coil bound with a heavy stock cover. Two details matter in daily use.

The heavy cover prevents write-through, so pressing on one PO does not leave a ghost impression on the pages beneath, which is what makes a used book hard to read and hard to audit. And the control copy stays bound in the book, so the record never depends on someone remembering to bring a copy back. The book itself is the audit trail.

Custom Imprinted

The custom imprinted version carries your logo plus up to 4 lines of your own information, on the same coil-bound 3-part format. At a few dollars more per book than the standard version, it is worth it when the PO is handed to a fuel supplier or an outside vendor, since a document carrying your name is harder to dispute and easier to match against an invoice.

Why a Separate Fuel Book

Fuel could be written on a general purchase order book, but keeping it separate means fuel spend reconciles as its own line without anyone sorting through mixed POs at month end. It also makes the book easier to place: fuel POs live where vehicles get fuelled, not at the parts counter.

FAQ

Why use a fuel PO book at all?

Because fuel is one of the easiest costs to lose track of. A fuel PO creates a document per purchase showing what was bought, for which vehicle, authorised by whom. Without it, the fuel card statement arrives at month end and nobody can attribute the spend.

What does the control copy do?

It stays bound in the book. One copy goes to the supplier, one to accounting, and the third never leaves, so the department retains a complete sequential record regardless of what happens to the copies that went out. That is what makes the book auditable rather than just convenient.

Standard or custom imprinted?

The difference is under ten dollars a book. Custom carries your logo and up to 4 lines of your details, which matters when the PO is handed to a fuel supplier or outside vendor. If the book is used purely internally, the standard version does the same job.

Why does the cover matter?

Carbonless paper transfers under pressure. Without a heavy cover between the page being written and the pages beneath, every PO leaves a faint impression on the next several forms, and a well-used book becomes difficult to read. The heavy stock cover is what stops that.

Can we use a general PO book instead?

You can, but fuel then sits mixed in with parts and supplier purchases and has to be separated out to reconcile. A dedicated fuel book keeps fuel spend in one sequence and lets you keep the book where vehicles are actually fuelled rather than at the parts counter.
