Car Dealership Sales Forms

A vehicle sale generates a stack of paperwork, and most of it has to exist in multiple signed copies: one for the customer, one for the file, one for the lender. That is what carbonless multi-part forms do and why dealerships still buy them by the pack. Dealermarket stocks the full set in stock formats and custom printed with your dealership information.

Disclosures

Federal law requires mileage disclosure at transfer of ownership. Odometer disclosure forms and statements come in several formats sized to align with pre-programmed DMS printers: the compact ODOM-CT, the ODOM-65-3 with blue screen, the ODOM-103N with blue screen, and the plain ODOM-103N for states and systems that scan. Financing deals also use the notice to co-signer form and agreement to provide auto insurance forms.

Negotiation and Trade-In

The four square form lays the deal out in four quadrants covering selling price, trade value, down payment, and monthly payment, the standard structure for working a deal at the desk. Vehicle trade-in appraisal forms document what a trade is worth and its condition, and the payoff verification pad records the exact payoff figure and who confirmed it.

The Sale

Car dealer purchase agreement forms formalize the transaction, available as a standard 2-part form in packs of 100, edge-glued for pad-style use. Vehicle invoice forms include the 4-part VI-131N and the snap-out 6131-4, both pre-numbered with room for optional equipment and accessories. For dealer-to-dealer and auction transfers, the wholesale sales order gives a 4-part paper trail.

Commitments and Delivery

Verbal promises are where post-sale disputes start. We Owe forms record what the dealership still owes the customer, with the We Owe You Owe version covering both directions on one form, and due bill forms documenting work promised on a sold vehicle. Avoid verbal orders forms do the same job in the service drive. Before handover, the vehicle get ready form tells detail and service exactly what to clean, install, and repair.

Tracking and Records

Vehicle deal labels and stickers follow a unit through the deal process, available as a 1-part yellow label, a 3-part gummed version, or a 3-part carbon label with permanent adhesive. Summarize the finished deal on the deal recap form.

Service Loaners

Car rental agreement forms and the substitute vehicle agreement document the terms when a customer takes a loaner during service, including the insurance protection disclaimer.

Custom Printed Forms

Custom 3-part carbonless forms carry your dealership information and can reproduce a form you already use, so nothing about your process has to change. See also custom printed deal jackets.

FAQ

Why buy carbonless forms instead of printing my own?

Because most dealership paperwork needs multiple signed originals at the moment of signature: one for the customer, one for the deal file, one for the lender or the state. A carbonless 3-part or 4-part form produces all of them from a single signature. Printing separate copies means separate signatures, and a file where the copies do not match is a problem years later when someone questions the deal.

Which odometer disclosure form do I need?

All are sized to align with pre-programmed DMS printers. Choose the ODOM-CT if you want the most compact form, the ODOM-65-3 or ODOM-103N with blue screen for easy visual identification of part 1 in a stack, or the plain ODOM-103N if your state or process requires scanning, since the tint can interfere. Confirm your state's current requirements before standardizing.

What is a four square form?

A four square form is a negotiation worksheet divided into four quadrants: selling price, trade-in value, down payment, and monthly payment. It gives the desk a consistent structure for working a deal and keeps all four variables visible at once rather than negotiating them one at a time.

What is the difference between a We Owe and a due bill?

They overlap and some dealerships use the terms interchangeably. A We Owe form records anything promised to the customer after delivery, a second key, an accessory, a repair. A due bill is typically used specifically for work or repairs owed on the sold vehicle. Either way, the point is a signed record so the promise is not disputed later.

Can forms be printed with our dealership name?

Yes. Custom 3-part carbonless forms are printed with your information, and our customer service team can match a form you already use or help design a new one. Several stock forms, including the VI-131N vehicle invoice, are also available in custom versions.

Do you have forms for wholesale and dealer-to-dealer sales?

Yes. The wholesale sales order is a 4-part form built for dealer-to-dealer sales, auction transfers, and fleet wholesale transactions, giving every party in the transfer a copy.
