A dealership office runs on paper in a way most businesses no longer do. Deal jackets, repair orders, warranty claims and title work all arrive as physical documents that have to be filed, bundled and found again months later. These are the supplies that make that work.

Two choices here are worth a moment rather than defaulting. On filing, use the box bottom hanging folders for deal files, since a complete deal is thick enough to split a standard folder at the fold inside a year, and keep the standard reinforced ones for correspondence. The 3 tab folders come in nine colours, which is worth using deliberately: a colour per department or per year turns a drawer into something searchable without reading every tab.

On stationery, custom letterhead is pre printed in colour with your details, so it saves toner on every page and reads as your own stationery. Laser cut sheets give you a coloured design on 20# white stock for a fraction of that, with no artwork or print run, but carry a generic design rather than your name. For transactional and internal printing the stock sheets do the job; for correspondence a customer keeps, letterhead earns its price. Many dealerships run both. The rest is desk and counter stock: pads, clips, staples, coin envelopes for keys and fobs, thermal rolls, and markers that are xylene free and low odour, which matters in a closed office.

Office Supplies

A dealership office runs on paper in a way most businesses no longer do. Deal jackets, repair orders, warranty claims and title work all arrive as physical documents that need filing, bundling and finding again months later. These are the supplies that make that work.

Filing

3-tab file folders are letter size on 11 point stock in nine colours, 1/3 cut in assorted tab positions, 100 per box. The colour options are worth using deliberately: a colour per department or per year turns a drawer into something someone can search without reading every tab.

Reinforced hanging folders in green with 1/5-cut tabs handle standard filing. For anything thick, the box bottom version expands to hold full document packets, which is the one a dealership actually needs for deal files. A standard hanging folder holding a complete deal splits at the fold within a year.

If you run a colour-code system, the File Folder Storage Box is built to archive inactive colour-code folders, and month dividers keep the label ring book ordered January to December. See colour coded filing supplies for the system itself.

Letterhead or Laser Cut Sheets

This is the decision worth thinking about rather than defaulting on.

Custom Letterhead is pre-printed in colour with your dealership's details, produced in our own print shop. It saves toner on every page and looks like what it is: your stationery.

Laser cut sheets in red or blue are 20# white laser paper with a screen-printed design, 8-1/2in x 11in, that you print letters, invoices and customer communications onto. There is also a Thank You design for follow-up correspondence.

The stock designs cost a fraction of custom letterhead and give you colour on the page without a print run or artwork approval. The trade-off is that they carry a generic design rather than your name. For high-volume internal or transactional printing, the stock sheets do the job; for correspondence a customer keeps, custom letterhead earns its price.

Desk Supplies

Writing pads at 5in x 8in in yellow and white, narrow ruled and perforated, 12 pads per pack. The full letter-size canary note pad at 8-1/2in x 11-3/4in in wide rule suits write-ups and longer documentation.

Self-stick notes at 3in x 3in, 100 sheets per pad, 12 per pack.

Bundling and Fastening

Two paper clip sizes worth distinguishing. Non-skid #1 clips at 1-3/8in grip so bundles do not slide apart in a stack, which matters on a desk that gets moved. Jumbo smooth clips at 1-3/4in take the larger document sets a deal file generates.

Small binder clips at 3/4in hold what a paper clip will not, chisel point staples come 25,000 to a pack, and size 54 rubber bands in assorted sizes handle forms and supply bundling by the pound.

Service and Parts Counter

Coin envelopes at 2-1/4in x 3-1/2in, 500 per pack, hold keys, fobs and small parts. A named envelope beats a labelled tray for anything that must not go missing.

Direct thermal paper rolls at 2-1/4in x 85ft fit most thermal receipt and label printers, three rolls per pack.

Markers

7.5mm broad markers and 1.5mm fine point, both fast drying, water resistant, xylene free, low odour and ROHS compliant, in red, blue or black. The low odour and xylene-free specification matters in a closed office; the broad tip suits labelling boxes and parts bins, the fine point suits forms.

Feedback

Suggestion cards at 8-1/2in x 5-1/2in collect anonymous feedback from customers or staff, and are made for the Dealermarket suggestion box.

Paper

20# bright white copy paper at 8-1/2in x 11in for everyday printing and copying. Call us for case pricing if you get through more than a few reams a month.

FAQ

Custom letterhead or laser cut sheets?

Who reads it. Custom letterhead carries your name and is what a customer keeps. Laser cut sheets give you a coloured design at a fraction of the cost with no artwork or print run, which suits transactional and internal printing. Many dealerships run both.

Which hanging folder for deal files?

The box bottom. A complete deal file is thick, and a standard hanging folder splits at the fold under that weight. Use standard reinforced folders for correspondence and thinner files.

Why nine colours of file folder?

So a drawer can be read at a glance. Assign a colour per department, per year or per status, and staff find the right file without reading tabs. The folders come 1/3 cut in assorted tab positions, so the tabs stagger naturally across a drawer.

Which paper clips should we order?

Both, for different jobs. Non-skid #1 clips hold bundles together on a moving desk. Jumbo clips take the thicker sets a deal or a repair order generates. A dealership office typically uses more of the jumbo than it expects.

Are these markers safe for an enclosed office?

They are xylene free, low odour and ROHS compliant, which is why they suit an office rather than only a shop. Take the 7.5mm tip for boxes and parts bins, the 1.5mm fine point for writing on forms.

Can we order in bulk?

Yes, and most of these items already come in multi-packs. Call us with your monthly usage for pricing on larger quantities and we will confirm current lead time for your order rather than quote a general figure.
