A color coded filing system makes a misfiled folder visible from across the room. Each file carries coloured labels for its identifying details, so a drawer in correct sequence shows a repeating pattern and anything out of place breaks it. You find misfiles in a glance rather than at year end.

Start from how your files are ordered. Filing by VIN or stock number needs number labels and alphabet labels. Filing by date needs year labels, covering 2009 through 2027, and month labels. A multi franchise group filing by brand needs auto makes labels, with 35 options. All are sold individually by digit, letter, year or make, so you buy only what your system actually uses.

The folders are built for it. Plain and pre printed colour code folders are 14 point manila with a tab extension so the VIN reads without pulling the folder out, and extended tab folders stand further proud for packed drawers. For sales files, the colour code deal jacket carries side lines marking exactly where labels go, which is what keeps the pattern consistent enough to read. When a year closes, the storage box takes inactive folders without losing the coding.

Color Coded Filing Supplies

A colour-coded filing system makes a misfiled folder visible from across the room. Each file carries coloured labels for its identifying details, so the drawer shows a repeating colour pattern and anything out of sequence breaks it. Instead of finding misfiles at year end, you find them in a glance.

Start With What You File By

The labels you need depend on how your files are ordered. Most dealerships file by VIN, some by date, some by make.

Labels are sold individually by digit, letter, year, month, or make, so you order only what your system uses rather than a set full of labels you will never apply. They are laminated and die-cut, 240 to 270 per set depending on type.

Folders Built for the System

Colour-code folders have a full tab with a tab extension, so the VIN reads without pulling the folder out of the drawer. All are 14-point manila, single-ply. Choose plain color-code folders to print or write your own headings, or pre-printed folders with the fields already laid out. Extended tab folders add a 3/8in tab extension for an even clearer read down a full drawer.

For sales files, the File Right color-code deal jacket is pre-printed with vehicle sale information and carries dedicated side lines showing where the colour labels go, so labels land in the same position on every jacket. That consistency is what makes the pattern readable.

Storing the Labels and the Files

Labels come in ringbook format, and month dividers for the color-code ring book keep them ordered January through December so nobody hunts for a sheet mid-filing. When a year closes, the file folder storage box is built to hold inactive colour-code folders in archival storage, heavy-duty cardboard with a lid.

Filing and Desk Consumables

General supplies for the same desks. Reinforced letter-size hanging folders and box bottom hanging folders that expand for thick packets. Jumbo paper clips, #1 non-skid clips, small binder clips, chisel point staples, and size 54 rubber bands for bundling paperwork. Coin envelopes hold keys, fobs, and small parts with the file they belong to.

Writing pads in yellow and white, letter-size note pads, self-stick notes, and direct thermal paper rolls for receipt and label printers.

FAQ

Which labels do I need?

It depends what your files are ordered by. Filing by VIN or stock number needs number labels and alphabet labels. Filing by date needs year and month labels. A multi-franchise group filing by brand needs auto makes labels. Labels are sold individually, so you buy only the digits, letters, or years you actually use.

How does colour coding find misfiles?

Files in correct sequence produce a repeating colour pattern down the drawer edge. A folder in the wrong place shows as a colour out of place, visible without reading a single label. That is the whole value: finding the misfile takes a second rather than an afternoon, and it happens the moment someone walks past the drawer.

Plain or pre-printed folders?

Pre-printed folders come with the fields already laid out, so staff complete the same information every time. Plain folders cost about the same and let you print or write your own headings, which suits a department with its own format. Both are 14-point manila with a tab extension for reading the VIN in the drawer.

What is an extended tab folder for?

Extended tab folders add a 3/8in extension so the tab stands further proud of the folder, which makes the VIN readable down a packed drawer where a standard tab would be obscured by the folder in front. Worth it on high-volume drawers that stay full.

Can the system be used for sales files too?

Yes. The File Right color-code deal jacket is pre-printed with vehicle sale information and marked with side lines showing exactly where labels go, so sales files carry the same colour pattern as service files. Departments that file the same way can then find each other's documents without asking.

What happens to old files?

Move them to archival storage rather than letting drawers fill. The file folder storage box is sized for inactive colour-code folders, so the coding survives the move and an archived file can still be found by the same method. Keeping active drawers at working capacity is what keeps the colour pattern readable.
