Sales Forms for Car Dealerships

Every vehicle sale generates a paper trail, and the forms you use decide how fast the desk moves and how well the file holds up years later. Dealermarket stocks the full set, from the appraisal on a trade to the delivery paperwork, in stock formats and custom printed with your dealership information.

Appraisal and Trade-In

The deal starts before the sale. The used vehicle appraisal form is a 3-part snap-out carbonless form for evaluating trades at purchase, and the used vehicle appraisal book is a compact bound version for use on the lot, with part 3 staying in the book as your permanent record. Verify existing finance with the payoff verification pad, which documents the exact payoff amount and who confirmed it.

Negotiation and Purchase

Used vehicle order books work as a worksheet during negotiation or as the final agreement at the point of sale, with a heavy wraparound cover to prevent write-through. The car dealer purchase agreement form is a standard 2-part form sold in packs of 100, edge-glued for pad-style use at the desk.

Disclosures and Compliance

Odometer disclosure is stocked in two versions: the ODOM-65-3 with blue screen for easy identification, and the plain ODOM-103N without the background tint, for states and dealerships that scan or submit digitally. Financing deals also use the notice to co-signer and the agreement to provide auto insurance. Required warranty disclosure is covered under AS IS buyers guides.

Delivery and After the Sale

Unwritten promises cause most post-sale disputes. The We Owe 3-part form records what the dealership still owes the customer, and the We Owe You Owe form documents both sides of the transaction on a single form. Summarize the finished deal with the deal recap form, and send customers off with greeting cards.

Inventory and Records

The used vehicle inventory card is a 2-part patterned carbon card capturing accounting and sales information for each unit. The used car record book, known in the trade as a police book, gives a bound record of used vehicle transactions and is required by law in some states. Browse more under used car forms and lot forms.

Window Stickers and Addendums

Dealer-added equipment and pricing go on addendum stickers, available pre-printed in black, blue, or red ink, or as plain stock for dealerships printing their own. Laser-compatible window stickers include the custom Peel-n-Seal external sticker and stock laser stickers.

Custom Printed Forms

Put your dealership name and your own layout on the paperwork. Custom 3-part carbonless forms can match a form you already use or be designed with our customer service team. See also custom printed deal jackets and custom printed envelopes and checks.

FAQ

Which sales forms does every dealership need?
What is a We Owe form?

It records anything the dealership agreed to provide after delivery: a second key, a repair, an accessory, a detail. Written down and signed, it prevents the argument that starts three weeks later when nobody remembers exactly what was promised. The We Owe You Owe version covers obligations in both directions on one form.

Do these forms meet my state's requirements?

Our forms are designed to capture the disclosures commonly required in vehicle sales, including odometer statements and warranty disclaimers. Requirements vary by state and change over time, so confirm current rules with your state motor vehicle authority or your dealership's counsel before standardizing on any form. If your state requires specific wording, custom printed forms can be produced to match.

Which odometer disclosure version should I order?

The blue screen version makes part 1 easy to identify in a stack, which suits paper-based filing. The plain no-screen version is built for dealerships and states that scan or submit digitally, since the tinted background can interfere with scanning.

What is a police book?

The used car record book is a bound register of used vehicle transactions, called a police book because law enforcement and regulators may inspect it. Some states require dealers to maintain one. Check whether yours does before assuming a digital record is sufficient.

Can I get forms printed with my dealership name?

Yes. Custom carbonless forms are printed with your dealership information and can reproduce a form you already use, so staff keep the same layout. Send a sample or work with our customer service team on a new design.
